Accessing additional mailboxes - Desktop (Delegated Access)
Adding a mailbox
1. Check that the mailbox you need access to isn't already listed in your mailbox list; some mailboxes will automatically assign to your account.
By default, additional mailboxes will be listed beneath your own mailbox. You can collapse each mailbox using the arrow to the left of the text to obtain a clearer view
2. If the mailbox you requireisn't present, press the "File" menu at the top left of your Outlook Window.
3. You’ll get this screen. Click the “Account Settings” button and click “Account Settings” from the dropdown box.
4. Click your account and click “Change”
5. Select More Settings > Select “Advanced” Tab > Select “Add”
6. Either enter the display name of the mailbox or the e-mail address then press OK:
7. Press OK to clear the window, then "Next" on the "Exchange Account Settings" screen to proceed with the change. Click "Finish" when prompted. Your additional mailbox will now be connected to your Outlook Client. It may take 5 minutes or more before e-mails start to appear in the mailbox.
8. If you require the ability to "Send As" from a mailbox, additional configuration is required. To start this process, open/create a new e-mail message.
9. Click the "Options" tab. Select "From" in the "Show Fields" section
10. Click the "From" dropdown box and choose "Other Email Address". You can either type the e-mail address if you know it or select from the Address Book by pressing the "From..." button. Either works, press OK when complete.
11. You now have the ability to select which mailbox to use to send new messages. By default, your address will be used for new messages, but the mailbox context (whichever mailbox you have selected on the left hand side of the Outlook Main Window) will determine the reply address that is used. e.g. If Data Protection > Inbox were selected, and a reply was created, this would automatically assume the dataprotection@qcha.org.uk address as the sender address.
Removing a mailbox
If you need to detach a mailbox that you have manually attached in this manner, please repeat steps 2 - 5. When you reach step 5, click the mailbox and click "Remove"
